The flight school business has tight margins. The company is fully dependent on insurance, fuel and lease prices to operate smoothly. One cost the flight school can control is their staff. Since loyal employees are the cornerstone of every business it is their efficiency which provides the best avenue for cost savings. This is where we come in.

One of the Workflows we implemented was a more efficient student enrollment process. The team used to give potential students paper applications, chased them down for specific forms, copies of their ID and proof of insurance. This would then all be stored in a cabinet filing system.

We implemented a customized enrollment workflow that saves the staff countless hours over the course of a month. Customers now fill out a digital form. This form triggers an encrypted client folder structure to be created. It saves the application and emails the customer a personalized acceptance letter with detailed instructions. Customers then upload their documents, pay their enrollment fee and everything is saved in a secure, digital filing structure. The students are happy with the guidance they receive and the employees are less stressed, because everything is efficient and smooth.

One of the biggest problems facing Stream Surfer was keeping track of exactly what was contained in a client’s yacht - from their own hardware to custom TVs and blinds. There are many moving parts required to automate and provide consolidated control of electronics and IoT (Internet of Things) appliances so it was essential to log everything.

Utilizing a flexible CRM, Stream Surfer is able to keep track of all the information required to provide the excellent and quick support and service they are known to provide. Invoices, purchase orders, client contact info, parts, appliances and more were all interlinked intuitively, putting all the information one click away.

In this day and age, your business is often searched on Google before a potential customer/client decides to contact you. Your review score is often the deciding factor. If your service is poor, there’s a good chance a disgruntled person might leave a bad review. Stream Surfer knew that maintaining a smooth client support workflow was essential and this solution was ideal.

Smart Farm had a significant speed bump with regards to their sales workflow. It involved a complex, many-paged Excel spreadsheet where the values were entered manually. Due to the fact that the majority of the sales of the Smart Farm product take place on a combine in a farmer’s field, the salesman had to lug around a laptop to create an estimate to pitch the farmer. The salesmen then had to export one sub sheet and email it to Smart Farm HQ. A slow and cumbersome process indeed!

We worked with the accountant and sales team to create a fully custom cross-platform and mobile-friendly quoting tool Workflow that generates a quote and emails all the right people. It also has a convenient interface to show the final cost estimate within moments of opening the app.

The final prototype came out of the workshop with a fine-tuned user experience. At Flowvine, we believe that software doesn’t have to be complicated for you. Clyde Butcher has always sold his art online. An order used to come in and the staff would copy paste the customers information into the UPS website to get a shipping quote. They would then call the customer and complete the full charge of the order. They would then print a packing slip and an invoice to place into the shipping box. At the end of the week they would collect all packages, drive to the UPS store and deliver them. Since shipping rates change, they would often pay more for shipping than they charged their customers.

We implemented a customized workflow for Clyde Butcher that saved the staff countless hours, made charging for shipping part of the seamless ordering process and informed customers instantly. Now orders come to WooCommerce with integrated live shipping charges from UPS, eliminating the need to call the customers. From there payments can be captured automatically and the order is immediately sent to ShippingEasy. From there customers are emailed their invoice and tracking number, UPS shipping is paid and UPS is notified to pick up the packages on a daily basis. This customized workflow streamlines Clyde Butcher's internal Workflow, reduces operational costs and satisfies customers.
